Workplace Coordinator
About the Role:
The Workplace team seeks a motivated office coordinator and receptionist to care for our Planet employees. From the moment an employee or guest walks through the door, you ensure they feel welcomed, supported, and inspired.
Planet's culture ties heavily to our physical office, our "mothership," and keeping it running smoothly will be your job! Sitting in the People/Experience team, this junior role at Planet shapes our employee engagement and guest experience, providing one-of-a-kind touches, signifying that all have entered an amazing community.
In addition to overseeing all tactical office and vendor management, you will also be part of designing opportunities to build relationships and foster teamwork in person. The workforce has a consistent and growing office presence, and you will help shape what it's like to be a "Planeteer." Creating and gauging interest in new community programming, providing opportunities to socialize in person or virtually, and executing unique events to connect.

This is a full-time, in-office position based in our Berlin office 5 days per week.
Impact You'll Own:
- Act as the first point of contact for all visitors, customers, and employees, providing a warm, professional, and uniquely "Planet" welcome.
- Oversee the daily flow of the office, ensuring common areas, meeting rooms, and reception are always guest-ready and functional.
- Act as the office procurement specialist. You'll own the inventory for office supplies, branded swag, and food and beverage stocks.
- Manage workplace services including daily catering/food ordering and office service vendors to ensure seamless delivery.
- Support leadership to analyze historical data and occupancy trends to help forecast the future needs of our Berlin workspace.
- Imagine and execute programming - events and initiatives that align with our mission of sustainability and global impact.
- Be a teammate that others want to follow. You'll collaborate actively with Facilities and Workplace Managers to solve problems creatively and maintain a high-energy, positive atmosphere.
- Other duties as the role evolves.
What You Bring:
- Professional experience in high-touch environments such as hospitality, front-of-house restaurant management, event planning, or high-level administrative support.
- Bilingual in English and German. You can switch seamlessly between both languages in professional writing and spoken conversation. (Note: Our internal business language is English).
- Comfortable navigating office software, vendor portals, and basic data tracking to keep the office running efficiently.
