GENESIS - TEAM ASSISTANT (M/F/D)
You will be responsible for
- Supporting Genesis Design Europe in all administrative, operational and front-office functions
- Independently managing budget-related tasks including purchase orders (PO), purchase request tracking and year-end closing processes
- Supporting expense tracking, invoice coordination and financial reporting
- Acting as a central coordination point between internal teams and external partners/vendors
- Serving as the first point of contact for visitors, clients and external partners
- Managing visitor access procedures in accordance with company policies
- Handling incoming and outgoing mail, parcels and shipments between HQ and external stakeholders
- Overseeing general office management tasks (e.g. NDA handling, office supplies, onboarding support for new employees)
- Proactively identifying office-related needs and coordinating with relevant departments to resolve issues
- Arranging business travel (flights, accommodations, transportation) and handling expense reimbursement processes
- Maintaining reports and documentation related to administrative and organizational activities
Who we are looking for
- Vocational training or a degree in business administration, office management or a related field
- Minimum 2 years of experience as a Team Assistant, Personal Assistant or similar role
- Strong communication skills in Korean and English; German is a plus
- Proficiency in MS Office (Excel, PowerPoint, Outlook), additional systems/tools experience is an advantage
- Strong organizational skills with the ability to manage multiple tasks independently
- A proactive, reliable and service-oriented mindset
- Professional appearance and communication skills for front-facing (reception) responsibilities
- Strong coordination skills with the ability to work across functions and resolve operational issues
- Ability and willingness to work on-site in Beilngries (Germany)
- Comfortable working in an international and collaborative environment
