Job Description
The aim of this position is to help ensure the outstanding planning, preparation and delivery of a number of German-teaching summer camp programmes, along with the development of Alpadia' German academic course.
It is an exciting, demanding and rewarding position. The position holder will directly affect the quality and success of their camps through their own performance and decisions. The success of the position depends heavily on the constructive and professional cooperation with the German Regional Manager, as well as the leadership teams of each German-teaching Alpadia summer camp.
During the summer, the Assistant Regional Coordinator will take an active part in training Alpadia's seasonal staff and support the local camp management teams in-person and remotely, as needed. They are also needed to support the setup and breakdown of camps during the first and last weeks of the summer (June 15-22, August 2-9) - these weeks require the ability to drive a minibus and a high level of self-sufficiency and stress management.
Main activities/duties
DURING SUMMER
Line Management
Support the camp management teams to ensure they are effective, and able to maximize the student experience
Monitor Student Feedback Forms responses each week, taking note of student feedback concerning the academic program.
Working with the German Regional Manager, assist in the performance management of all staff including; instances of discipline, grievance and capability
Cover management positions in camps as necessary
Support the recruitment and selection of camp staff if still required
Work with the recruitment team to ensure frontline staff members are efficiently deployed across the portfolio
Working with recruitment team, ensure all staff records and original documents are compliant
Logistics
Schedule weekly check-in calls with the Activity Managers of each camp to go over the week's programmes, and any outstanding issues, remaining preparations and other emerging questions
Support the camp teams to ensure physical and internal resources (such as itineraries or session plans) are in place to successfully deliver the programme
Support the team to ensure that external provider services are of sufficient quality and quantity to successfully deliver the programme (e.g. coaches, catering, premiums, etc.)
Support the team with the use of logistical tools including the Activity Planner, Accommodation Plan, Catering Requests, Attendance System, etc.
Quality and Incident Control
Support the monitoring, control and resolving of client and customer care issues
Working with the German Regional Manager, monitor and assist in the resolution of any safeguarding concerns
Work closely with our hosts and providers to maintain a positive partnership and resolve any issues that arise for them
Support the adherence and compliance with wider ALPADIA standards (including branding, planning, quality of activities, weekly pictures, testimonials for social media, student feedback, agenda use, etc.)
Assist in completing camp safety audits and implement follow up action
Ensure the attendance and absenteeism system is properly prepared, used and monitored at line managed camps
Cost Control
Assist in the updating of relevant camps' Purchase Order system
Review invoices for approval
Post-season
Take part in analysing feedback forms
Contribute to the continuous improvement plan via reviews and updates of key policies, processes, structures and documents
Support for Alpadia SA in Europe where requested
Miscellaneous
Other administrative tasks as required
Qualifications
Requirements of the role
Essential
Ability to lead, motivate and inspire others
High level self-sufficiency, growth mindset, and proven track record of solution-oriented problem-solving skills
High physical, mental and emotional resilience
High energy level, excitement and comfort speaking in front of large groups
Experience of managing in a young learner language camps/schools
Excellent interpersonal skills with the ability to interact with key stakeholders and build positive relationships
Experience of using Microsoft Office packages, notably Excel, Outlook and Word
Excellent organization and time management skills, with the ability to work independently, prioritize and meet deadlines
Desirable
Experience in teaching German as a foreign language
Fluency in German (written and oral)
Experience of managing operations of summer youth programmes
Experience in language teaching
DaF qualification, or equivalent relevant experience
Experience in recruitment and selection
Experience and/or qualifications relevant to health, safety and student welfare
Experience working in a customer service setting
Experience of designing and delivering staff training programmes, ideally in a high volume, seasonal organization

Miscellaneous:
- Fixed Term contract running from June 2026 to mid August 2026. During summer frequent travel to line managed camps will be necessary. The organisation will cover travel expenses.
- Accommodation can be provided during the summer if necessary.
