Brand Coordinator - The Americas - Design Hotels

In a nutshell

As Coordinator, Brand & Portfolio for The Americas, you sit at the intersection of two of our most active regional workstreams: bringing the Design Hotels brand to life across the Americas, and growing the partner and member portfolio that underpins it. You will work closely with the Head of Brand & Community and the Director of Portfolio to coordinate events, partnerships, community initiatives, and the research and pipeline management behind new member hotels and brand partners. The role is part producer, part researcher, part connector - built for someone who is equally comfortable in a tracker and in the room.

The ideal candidate is highly organised, culturally curious, and at ease moving between detail and big picture. You understand that brand work in the Americas is local and relationship-led, and that a strong portfolio is built through patient, well-managed pipelines. You care about design, hospitality, and the people working at the edges of both.

Tasks & Responsibilities

Brand and Community

  • Support the planning and execution of regional brand activations, events, and community gatherings across the Americas
  • Coordinate event logistics end-to-end - venues, vendors, RSVPs, guest lists, run-of-show, on-site support, and post-event follow-up
  • Manage workflows in Asana across brand and portfolio projects, ensuring briefs are clear, deadlines are visible, and progress is tracked
  • Maintain and grow the AMERS community and contributors database, ensuring it stays accurate, well-segmented, and actionable for outreach
  • Draft and send community communications, including invitations, partner updates, and follow-ups, in line with the Design Hotels tone of voice
  • Coordinate partner deliverables across activations - assets, logo placements, COIs, contracts, and credit lines
  • Support cross-functional coordination with PR, Social, Design, and Editorial teams in Berlin and the Americas
  • Manage shared inboxes and ensure timely, on-brand responses to community and partner enquiries

Partner & Portfolio Pipeline

  • Maintain the AMERS partner and portfolio pipeline trackers, ensuring all opportunities, conversations, and next steps are up to date
  • Conduct research on prospective member hotels and brand partners across the Americas, including property profiles, ownership structures, design and editorial fit, and competitive context
  • Prepare briefing documents, pipeline reports, and meeting prep materials for the Head of Brand & Community and Director of Portfolio
  • Coordinate scheduling and logistics for prospective member visits, partner meetings, and site tours
  • Support contract administration with partners and prospective members, including drafting initial documents, tracking signatures, and liaising with legal and finance
  • Map and monitor the regional landscape - new hotel openings, emerging brands, cultural collaborators - and surface opportunities relevant to the portfolio
  • Support onboarding of new member hotels in the region in partnership with the global Membership team

Coordination & Operations

  • Prepare presentations, decks, and one-pagers for internal and external use
  • Take notes and capture actions in regional and cross-team meetings, then drive follow-up to completion
  • Provide general administrative and operational support to Directors and Senior Director including travel coordination
  • Compile recaps and reports for brand activations, community events, and partnership initiatives
  • Grow the network of influential players in the independent hospitality sector and creative industry (e.g. Architecture & Design, Creative Services, On-Brand Partners, etc.)
  • Alignment with all relevant departments within the organization to ensure smooth workflow, related to the department objectives

Specific Knowledge & Skills:

  • Understanding of Brand Equity and well-versed in both, the creative and commercial side of a business organization
  • Excellent knowledge of the regional hospitality markets and its key players in the different subregions and countries within the boutique hotel market
  • Understanding of the regional business landscape in travel & hospitality
  • Ability to create brand materials and collateral as assigned by management

  • Bachelor's degree in hospitality management, communications, brand, business, or a related discipline
  • Two to four years of relevant experience in hospitality, design, brand, communications, agency, or a related field Great communication skills in English, additional languages are beneficial
  • Diligent, result-driven work ethic
  • Able to work both independently and in a team with a proactive and positive attitude
  • Excellent time management, organizational, and problem-solving skills
  • Avid learner with an affinity for new technologies and a keen eye for identifying new opportunities
  • Previous experience with project management (Asana, Monday) is a plus
  • A strong interest in design, hospitality, and culture - and a working knowledge of the Americas creative and cultural landscape

The annual pay range for this position is $59.000 to $69.000.

Please note that for this position, we are looking for somebody New York City-based.
