1. Facility Management & Maintenance
- Overseeing cleaning concepts and ensuring compliance with hygiene regulations at locations in Neuss and remotely managing locations outside Neuss (local contacts available to coordinate on site)
- Coordinating and commissioning maintenance, repairs, and servicing in collaboration with external service providers
- Handling small reasonable repairs herself / himself
- Ensuring compliance with fire protection, safety, and environmental regulations
- Documenting and monitoring facility management processes
2. Procurement & Administration
- Independently reviewing inventory levels and assessing supply needs for locations in Neuss and remotely for those outside Neuss
- Ordering and managing consumables, including office supplies, hygiene products, coffee, repairs and beverages
- Coordinating with suppliers and managing contracts for coffee, repairs, and other facility related products
- Ensuring cost-effective and sustainable procurement of consumables (quotes, tenders, cost comparison and value analysis)
- Contract management with oversight on maintenance renewal with timely Purchase Order initiation
3. Campus Technology and Event Space & Media
- Managing and coordinating meeting rooms and event space
- Organizing catering services and technical equipment for meetings and events
- Ensuring the functionality of media technology (presentation and video conferencing systems)
- Serving as a point of contact for all technical equipment on Campus such as access card system, Air - Condition, Emergency Batteries for Computer Room, and others
4. Communication & Coordination
- Acting as the central contact person for internal and external stakeholders on facility management topics
- Managing incoming and outgoing mail, including digitization of relevant documents
- Working closely with on-site teams in Neuss and remotely with teams at other locations to ensure efficient processes
- Regularly coordinating with other departments to analyze needs and optimize workflows
The position is based in Neuss on site, with responsibilities for locations in Neuss and remote management of locations outside Neuss. Travel is only required in exceptional cases.
- Experience in Facility Management or Office Administration
- Strong organizational and coordination skills
- Ability to manage Procurement and Supplier Contracts
- Knowledge of Fire Protection, Safety, and Hygiene Regulations
- Familiarity with Media Technology (e.g., Event Space Technology)
- Proficiency in Microsoft Office and Digital Document Management
- Strong communication skills for internal and external coordination
- Ability to work independently and manage remote locations efficiently
- Problem-Solving skills and a hands-on-mentality
- Fluency in German and English
