Project / Department Overview

The role is intended for an experienced Senior Project Manager who will take responsibility for the coordination, planning, and execution of subprojects within a large-scale IT documentation and collaboration solution environment.

The position combines subproject management, PMO activities, project controlling, stakeholder management, dependency management, risk and change management, and administrative project support. The Senior Project Manager will ensure that assigned subprojects are planned, tracked, documented, and reported in a structured and transparent manner.

Responsibilities

The Senior Project Manager will be responsible for the following tasks:

  • Coordinate, plan, and execute subprojects with a focus on IT documentation and collaboration solutions.
  • Perform project management and PMO-related activities within the assigned project environment.
  • Maintain and update the subproject structure in MS Project, MS SharePoint, and Atlassian Jira.
  • Carry out subproject controlling with regard to schedules, milestones, requirements, delivery units, required contributions, and budget.
  • Manage dependencies, changes, configurations, and risks within the subproject.
  • Perform stakeholder management and handle conflicts of objectives and interests.
  • Participate in committees, project boards, and governance meetings.
  • Prepare and deliver project communication, reporting, and status updates.
  • Conduct administrative project activities, including appointment coordination, meeting preparation, and meeting follow-up.
  • Support quality assurance activities within the subproject.
  • Support employee onboarding and offboarding activities.
  • Maintain, update, and reconcile project-related lists and documentation.
  • Create guideline documents, templates, and specifications for the subproject.
  • Support the overall project management team with special topics and ad hoc assignments.
  • Ensure consistency, traceability, and structured documentation across all relevant project artifacts.

Required Qualifications

  • Completed degree in computer science, business informatics, or another IT-related bachelor's program.
  • Alternatively, completed recognized vocational training in an IT-related profession.
  • Alternatively, at least 6 years of professional experience in an IT environment.
  • Strong knowledge of relevant project and office tools, including:
    • MS Word
    • MS Excel
    • MS PowerPoint
    • MS Outlook
    • Atlassian Jira
    • MS Project
    • MS SharePoint

Required Professional Experience

The candidate should have:

  • At least 5 years of professional experience in project management for medium-sized and moderately complex projects.
  • Experience in subproject management or PMO environments.
  • Experience with project controlling, milestone tracking, requirements tracking, delivery tracking, and budget monitoring.
  • Experience managing project dependencies, risks, changes, and configurations.
  • Experience using MS Project, SharePoint, and Jira for project planning, documentation, and tracking.
  • Experience preparing project reports, committee materials, decision documents, and guideline documents.
  • Experience coordinating meetings, stakeholders, project teams, and administrative project processes.
  • Experience supporting project leadership in special topics and operational project execution.

Language Requirements

  • German: C2 level according to CEFR.

Proof of language skills may be provided through a certificate. Native German speakers are exempt from providing separate proof.

If project references are required, they should include:

  • Industry
  • Project title

  • Duration of the candidate's assignment
  • Detailed description of the candidate's responsibilities and activities in the project
