About the role:
This role provides dedicated office support to our German team, with additional administrative responsibilities spanning our Stockholm and Belgium offices. The position plays a central part in ensuring operational efficiency across the business, encompassing onboarding coordination, system access management, regulatory submissions, and day-to-day administrative support for senior team members. The successful candidate will also take ownership of employee equipment management and lead the planning and execution of company events and team activities throughout the year. Operating within a collaborative, cross-functional environment, this role requires a highly organised professional with strong communication skills in both German and English, and the ability to manage competing priorities across an international organisation.
Responsibilities:
- Provide general office support for the German team, with coordination across Stockholm and Belgium offices
- Lead onboarding administration including profile setup, documentation, and liaison with HR and IT
- Manage system access requests, financial account submissions, and regulatory filings
- Maintain structured filing systems and ensure accurate record-keeping
- Coordinate meetings, travel, and calendars for senior team members
- Manage employee equipment including ordering, setup, and tracking
- Plan and execute company events and team activities, overseeing logistics, budgets, and external providers across Germany, Stockholm, and Belgium
Qualifications:
- Experience in office support roles
- Strong organisational skills and attention to detail
- Ability to manage multiple tasks in an international environment
- Good communication skills (German & English required)
- Proficient in MS Office
